    HOURS OF OPERATION
    Tot World is open between the hours of 7:00 a.m. to 6:00 p.m. Monday to Friday during the year. As regulated by the Day Nurseries Act, a child may only stay a maximum of 10 hours per day the Centre.

    GOOD MORNINGS AND GOOD BYES
    On arrival at the Centre, please allow yourself enough time to help your child undress and place him/her in the care of the staff on duty.

    We require that all children be at the Centre by 9:30 a.m. This allows the child to get the most benefit from the daily program by participating in the majority of activities. It also allows us to prepare for lunches, snacks, etc. for the appropriate number of children. Exceptions to this policy will be made only when necessary, due to appointments etc. Please call by 9:30 a.m. to advise Tot World when a late arrival is necessary.

    In the evenings, when you pick your child up, please ensure that our staffs are aware that you have left. On days when your child will not be picked up by a parent, please notify the centre as soon as possible and in writing as to the name of the person(s) who are authorized to pick him/her up. It is the responsibility of each parent to ensure that the information maintained by the centre is up to date at all times.

    CLOTHING
    Please dress your child in labeled play clothing. This will allow him/her to feel free to be involved in all the messy, creative activities that are planned. Should clothing be misplaced, permanent labels will facilitate locating them and limit lost items. A set of extra clothing should be left in your child's cubby along with a blanket for naps and a pair of sneakers for indoor activities. Toddler parents must provide diapers, wipes & Vaseline/cream. Please ensure that your child has all the appropriate outdoor clothing to enable him/her to enjoy all activities.

    Toys and special items must remain at home unless otherwise requested. The Day Care will not be responsible for lost items

    MEDICATION
    There are a number of licensing regulations involved in giving medication to children in a child care programme. These rules and regulations exist to protect the staff as well as the children and must be adhered to by all staff and parents.

    All medicines must be prescribed by a doctor. This means a Pharmacist's label must be attached to such drugs as cough medicines and decongestants showing that your doctor has prescribed them for a particular child. No medication will be given if it has been prescribed to another member of the family. It must have your child's name on it.

    No outdated medicines will b given. Please let us know if the medication should be stored in the fridge. The medication form is available from staff and must be filled out and signed by the parent and staff member. Instructions for dispensing of medication are to be entered by the parent and staff member will sign the medication form upon administering the medication.

    We are aware that parents are often in a hurry in the morning and we have tried to make the form as simple and convenient as possible. Since the Child Care Centre is bound by the regulations are followed.

    Doctor's notes are required for re-admission after child has been absent:
      1. 2 weeks due to illness
      2. due to a contagious illness
      3. due to diarrhea for 3 days
      4. due to hospitalization

    FOOD
    A hot lunch and 2 nutritious snacks will be provided to all children. Menus are always posted on the parent's bulletin board and in all classrooms in advance and the meals provided will meet the dietary requirement of all the licensing bodies. Parents should complete the parent information form concerning any specific dietary needs, if necessary. Please do not give your child any candy or chewing gum to bring to Tot World. Fruit or cookies, which may be eaten during snack time, are permitted. Please ensure that your child has had lunch if it is occasionally necessary to bring him/her to the centre after 1100 a.m.

    EMERGENCIES
    Where an emergency has arisen or circumstances are such that the child must be evacuated from Tot World, we will provide information to you as to the new location at which your child will remain until you attend to pick your child up. It is the responsibility of each parent to attend at the new location to pick up their child.

    In the case of flood or fire at the Day Care Centre, all children will be taken to Yorkwoods Community Centre located at 20 Yorkwoods Gate.

    OUTDOOR PLAY
    Except in most inclement weather we are required by the Ontario Day Nurseries regulations to take every child outdoors for a least two hours every day during which the child is in our care. This is an important part of your child's program. Fresh air is an old fashioned but powerful remedy against long term or recurrent upper respiratory problems. Please do not ask us to keep your child indoors. If he/she is well enough to attend Tot World, he/she is well enough to participate in the entire program, an important health component of which is outdoor play.

    PAYMENT OF FEES
    All fees must be paid on the first day of each calendar month/week in advance whether or not your child will attending unless we have made mutually satisfactory arrangements to the contrary. Unfortunately, since our program is planned well in advance and arrangements are made for your child to participate, we cannot waive, deduct, pro rate or rebate payment for any non-attendance, sick days or temporary absence.

    Fee payments made by a cheque and returned to us by the bank will be subject to a Service Charge. Should a second cheque be returned, we would require all future payments to be made in cash.

    Please make all cheques payable to Tot World Child Care Centre.

    WITHDRAWAL FROM THE CHILDCARE CENTRE
    Two weeks notice must be given if your child is withdrawn from the centre. A child may be asked to withdraw from the programme if the Director, after:
      1. Documentation
      2. Consultation with the Program Advisor at the Ministry of Community and Social Services.
      3. Social Services
      4. Consultation with Metro Children Services Consultant.
      5. Consultation with the Board of Directors determines that the need of the child cannot be met by the programme.

    Two weeks notice will be given in such cases. Non-payment of fees will also be a reason for withdrawal from the Centre.

    LATE PICKUPS
    Parents who are late picking up their child/ren will be charged a late fee of $1.00 per minute after 6:00 p.m. payable directly to the staff on duty. This fee is subject to change without notice. NO RECEIPT WILL BE ISSUED FOR LATE FEES.

    To discourage consistent late pickups, after a child has been left late three times (genuine emergency incident excluded), the parent may be given two weeks notice of withdrawal to make alternate day care arrangement for their child.

    Please be advised appropriate government bodies approve our Emergency Policy. Should a child be left at the centre until 7:00 p.m. with no communication from the parent, the police and/or Children's Aid Society will be contacted. The child will be place with the appropriate agency. These authorities will then investigate the circumstances and take appropriate action. We feel that this policy is for the safety and protection of both your children and you. We sincerely hope that you will keep this policy fore most in your mind and fully co-operate with us.

    Please remember our staff also has personal commitments and/or families. It would be appreciated if you do your shopping/errands after you pick your child from the centre.

    VACATION
    Every child whose parent is in receipt of Tot World Child Care Services is permitted to be absent for Vacation of up to 3 weeks per year January to December. The parent must pay for 3 weeks vacation, and two weeks notice must be given. For subsidized children additional 2 weeks can be granted but parents must first fill out a request form, which goes to subsidy for approval. Parents must pay for these additional weeks

    STATUTORY HOLIDAYS
    Tot World will be closed on regular statutory holidays, and may need to close on those dates when Yorkwoods Elementary School is closed without caretaking staff during the Christmas school vacation. The following are dates when the centre will be closed. Parents will be given as much notice as possible.

    Good Friday Easter Monday
    Victoria Day Civic Day
    Canada Day Labour Day
    Thanksgiving Day Christmas Day
    Boxing Day New Year's Day


    The centre will be closed early on Christmas Eve and New Year's Eve. Advanced notice is always sent home so those parents can make alternative arrangements for their children.

    TOT WORLD POLICY ON THE ENROLMENT OF CHILDREN
    Children are generally enrolled in our centre on a first come first serve basis according to age group and vacancies. Absolutely no monetary incentives, material or services will be accepted to have children up on the waiting list or to enroll children when spaces are not available.

    We do, however, reserve the right to refuse any applicant we feel is not suitable for our program or to make exceptions to the "first come" policy when special situation arise.

    CHILD BEHAVIOUR
    In cases of extremely aggressive or violent behaviour by a child at Tot World with no significant improvement noted after a period of time, the following actions will be taken:
      1. A meeting to discuss a plan of action will be organized by the Director. A discussion concerning the behaviour
         problem will attempt to establish a plan of cooperative action between home and Tot World.
      2. If the problem persists, a counseling session will be arranged between the parent, the child and a qualified staff member.
      3. If the second phase of the policy is ineffective, the parent and Director will meet to discuss future appropriate action.
      4. If all stages of the Behaviour Management Policy prove ineffective, the continuation of care will be reviewed by the
         Board of Directors for Tot World.

    STAFF CONCERNS
    In cases of any concern from parents about any staff member, the following action will be taken:
      1. A meeting to discuss the concern will be set up the parent and the staff member involved.
      2. If the problem persists, the parent will discuss the matter with the Director.
      3. A meeting will be then set up among the parent, staff and Director
      4. If the third phase is not effective, it is the Director's responsibility to have the matter reviewed by the Board of Directors.

    SUSPENSION
    In the case where a child is attending any North York Board of Education school or any other learning institution, and is suspended for any reason, that child will not be allowed to attend the Day Care during the period of time.

    SICK CHILDREN AT SCHOOL
    In the case of a child who has become sick during school hours, parents will be notified immediately to pick child up.

    If a child is too ill to attend school, that child is too ill to attend Day Care.

    POLICY CHANGES
    Tot World reserves the right to add to and/or change its policies from time to time without notice and each parent agrees to be bound by such policies.

    We have given you a considerable amount of information to digest and there probably will be many questions. Please do not hesitate to call/contact our Director for further clarification or discussion.

    We hope you and your child have a long and happy association with Tot World.

    OFF-LOCATION TRIP PROCEDURE

    PRINCIPLES

    In the development of programs for children in-group settings, Tot World strives to provide experiences that offer enrichment, are appropriate to the child's development and individual needs, and offer opportunities to expand knowledge. Tot World acknowledges that these opportunities can be enhanced by participation in appropriate off-location trips, which maximize community resources. Trip are planned:

    • To provide concrete experiences which enhance or reinforce learning objectives such as language development;
    • To expand the child's knowledge and experience;
    • According to the child's developmental level;
    • To encourage social interaction
    • To encourage the development of individual interests


    THE TRIP

    If all procedures have been followed closely, staff should not experience any "surprise" once the day of the trip arrives. Nevertheless, staff should always be prepared for the unexpected and have contingency plan in place.


    Prior to Departure
    The first thing that staff must do is determined whether or not the trip should take place as planned. It is the Director's responsibility to make this determination. If the trip, will continue, staff must:
    • Bring packed supplies, food, money, first aid kit and water;
    • Bring Emergency Cards, Emergency Contact numbers and Crisis Management Policy;
    • Review trip plan and responsibilities with staff and volunteers;
    • Give each staff/volunteer his or her group list;
    • Place name tags on children;
    • Post sign with destination and return time on door;
    • Review safety precautions with children, staff and volunteers;
    • Toilet children before they leave;
    • Count children as they board the bus and check off each child on the master list as the board;
    • Ensure staff and volunteers have their day's schedule and are seated with the children.

    ON LOCATION
    Just as in the classroom or program, the role of the staff and volunteers is to facilitate the development and learning of the children. They must draw the children's attention to anything of interest, ask questions to pique their curiosity and encourage children to try new things.

    During the trip, each adult assigned to a group must be aware of all the children in his or her group at all times and group supervised by volunteers must always be within sight of staff person. Regular counting is imperative. Bus boarding procedures for trip home are same as above.

    The Director is not assigned to a group but, rather, ensures that all groups are well organized, and assists with groups as necessary.

    In the event of an accident or incident, the Director will follow the Crisis Management Policy.
